Managing group memberships

As a group administrator, you have the ability to determine which users are allowed to submit participation requests and how the requests are approved. When a user submits a participation request, they will see which permissions the group administrators want to obtain regarding their data. Administrators have the freedom to choose which specific access rights they want to request for the user's data.

Edit participation request settings

  • Go to your group and click on Settings in the left menu.
  • Scroll to the section on Membership and visibility.
  • Select the desired setting. You can choose from the following options:
    • Anyone can submit a participation request: Group administrators must approve participation requests before anyone can join the group.
    • Only users with a shared code can submit a participation request: As an administrator, you can set a secret code for your group that users need to submit a participation request. Group administrators must approve participation requests before anyone can join the group. Selecting this option will automatically generate a secret code. You can also choose your own code by clicking on the pencil icon on the right and entering your own code.
    • Only invited users can participate: As an administrator, you can invite a user to participate in your group. The user will receive a personal access code that allows them to become a member immediately.

Approve or reject participation requests

  • Go to your group and click on Requests in the left menu.
  • Afterwards, you can do the following:
    • Approve or reject individual requests.
    • Approve a selection or reject all.
  • Upon approval, you will have the option to assign an EnergyID Premium license.

Invite users to participate

  • Go to your group and click on Invitations in the left menu.
  • Click on Invite Members.
  • Indicate which email addresses you want to send invitations to and which EnergyID Premium license you want to assign.
  • Choose whether you want the invitation to be sent by EnergyID. You can also share the generated access code with the desired users.

You can also choose to upload a list. The file must meet the following import specifications:

  • It must be a .csv, .xls, or .xlsx file.
  • The first row contains the column names, starting with Email, followed by ProductCode, AccessCode, and Reference.
  • The email address and product code are mandatory, the access code and reference may be empty. If no access code is provided, one will be generated automatically.
Attention

Invitations are solely intended to invite users to join your group. Group administrators can be added via the Administrators tab in the left menu.

Set desired access rights

  • Go to your group and click on Settings in the left menu.
  • Scroll to Permissions and user consent and click on Edit.
  • Specify the permissions you want to request from the members of the group. The options are as follows:
    • View profile data.
      This setting is mandatory. Profile data includes the user's name, email address, photo, and preferred language.
    • Send messages and collect responses
      You can send messages to your members and collect responses to questions, links, and action buttons.
    • View essential record data
      You can access data relevant for managing membership, such as address, building characteristics, and installed facilities, without access to the files and measurement data of your members.
    • View records
      You can view the complete contents of the records in your group, but you cannot add meters or events or modify data.
    • View and modify records
      You can view and modify the complete contents of the records in your group.
  • Indicate whether you want to ask current members in your group to approve the new access rights. Current members will receive a message asking them to approve the updated consent request.
  • Click Save

Remove members from the group

  • Go to your group and click on records in the left menu.
  • Find the record you want to remove from the group.
  • Click on the desired record and click at the bottom of the pop-up on Remove from group.
